General Position Overview
The Senior Logistics Manager serves as a program strategist and senior execution leader responsible for overseeing complex, high-impact event logistics across large-scale programs. This role provides strategic guidance, cross-functional leadership, elevated risk management, and holistic program oversight. Senior Logistics Leads mentor and develop Logistics Leads and Coordinators, ensure operational cohesion across all logistics components, and act as trusted advisors to both MCW Events leadership and client stakeholders. This position is critical to elevating logistics excellence while shaping delivery models and improving internal processes.
Compensation
Salary Range: $97,000 – $125,000

Job Description
This position includes, but is not limited to, the following responsibilities:
Program Strategy & Logistics Leadership
- Lead logistics strategy and onsite execution for complex, multi-property, or high-visibility programs
- Translate strategic objectives into detailed operational plans and workflows
- Develop and maintain event briefs, work plans, timelines, and playbooks; update as program needs evolve
- Oversee the execution and accuracy of logistics documentation, critical paths, and execution plans
- Implement MCW Events’ logistics processes across all assigned programs.
- Recommend strategies that increase operational efficiency, improve attendee experience, and reduce costs.
- Provide measurement tools and support post-event evaluations.
- Facilitate internal and client meetings to communicate status, timelines, risks, and budget impacts.
- Provides onsite support at events to liaise with venues, provide vendor management, attendee communication and sponsor support.
- Partner with Account Directors to ensure strategic alignment
Client Partnership & Executive Communication
- Act as a trusted advisor and primary day-to-day contact to senior-level client stakeholders.
- Manage client expectations and maintain strong, professional communication.
- Develop a deep understanding of the client’s business, objectives, and program success metrics.
- Provide strategic recommendations based on data, historical insights, and risk assessments.
- Lead senior client conversations and escalation pathways.
- Ensure logistics strategy aligns with client objectives, budget, and success metrics.
Cross-Functional Management & Operational Cohesion
- Ensure cohesive communication and coordination across program workstreams (logistics, registration, housing, production, onsite operations, etc.).
- Coordinate vendor relationships and ensure timely communication, deliverables, and compliance.
- Anticipate cross-functional impacts and proactively align teams around changes, risks, and decision points.
- Drive integrated planning sessions, precons, and onsite leadership briefings.
- Provide clear status reporting to internal teams and proactively surface issues that impact program delivery.
Team Leadership, Coaching & Quality Management
- Mentor and coach Logistics Leads, Senior Coordinators, and Coordinators.
Support career growth, performance coaching, and delegation development across the logistics team. - Set quality standards for logistics documentation, communications, and onsite execution.
- Review deliverables for accuracy and consistency prior to client delivery.
Lead internal task forces to improve processes, templates, and operational standards. - Promote MCW Events through select networking, learning, and industry engagement opportunities.
- Maintain awareness of industry trends and bring forward recommendations that support innovation and excellence.
Provide thoughtful performance input to senior leadership.
Financial Oversight & Contract Strategy
- Advise on sourcing decisions, contract structures, rate negotiations, and vendor alignment.
- Partner with Account Directors on financial implications of logistics decisions.
- Develop and manage event budgets in partnership with clients and key stakeholders, identifying risks and making recommendations.
- Identify cost efficiencies, forecast resource needs, and support budget adherence.
- Manage vendor, contractor, and partner budgets, including reconciliation and pass-through payments.
- Support business development efforts, including scoping, logistics recommendations, RFP responses, and proposals.
- Identify growth opportunities within existing accounts and provide insights into budgeting, analytics, and upsell pathways.
- Demonstrate financial acumen, including understanding revenue models and accurately tracking team hours and expenses.
Risk Management & Issue Resolution
- Anticipate, analyze, and mitigate risks across all logistics components.
- Lead escalation response in real time during planning and onsite execution.
- Communicate difficult or sensitive topics with clarity and tact.
- Ensure program readiness for scenario planning, contingency execution, and operational pivots.
Technical & Production Understanding
- Maintain a strong understanding of event technical requirements across virtual, hybrid, and in-person experiences.
- Demonstrate familiarity with production workflows, broadcast elements, and show-calling fundamentals.
- Recommend, select, and manage technical vendors in alignment with program needs.
- Stay current on emerging event technologies and assess their applicability to client programs.
Scope & Decision-Making Authority
- Owns holistic logistics strategy for assigned programs.
- Makes high-impact decisions related to logistics, vendor management, staffing, contingency actions, and budget implications.
- Provides final review and approval of logistics deliverables and processes.
- Delegates execution workstreams to Leads and Senior Coordinators while maintaining oversight and accountability.
- Acts as a senior escalation point for both internal teams and clients.
Additional Knowledge, Skills & Abilities
- Bachelor’s degree (or equivalent experience) and 6+ years in event logistics, project management, or large-scale event operations.
- Experience working with large groups, DMCs, hotel partners, or incentive programs.
- Advanced experience with event budgeting, forecasting, and financial analysis.
- Strong strategic thinking, with the ability to anticipate risks, identify solutions, and navigate ambiguity.
- Exceptional project and time management skills, with the ability to manage multiple priorities under tight deadlines.
- Demonstrated ability to lead medium-to-large, complex programs with minimal oversight.
- Skilled negotiator with experience supporting venue sourcing, contract considerations, and vendor alignment.
- Excellent verbal and written communication skills, with the ability to convey complex information clearly and professionally.
